Your Travel, Our Responsibility
Key guidelines for bookings, payments, cancellations, and responsibilities to ensure a safe and seamless travel experience.

1. Definitions
African Brownmat Safaris Ltd refers to the company registered in the Republic of Uganda.
Client refers to the person(s) named on the booking form who contract for the safari or tour and are bound by these Terms and Conditions. All persons named are jointly and severally liable for fulfilling the obligations under this contract. Minors must have consent from their legal guardians.
Trip refers to any safari, tour, or travel package booked with African Brownmat Safaris Ltd.
Quotation means the written proposal or invoice issued by African Brownmat Safaris Ltd, valid for 30 days from the date of issue.
Services include all arrangements, accommodations, transport, transfers, permits, and related bookings made by the company on behalf of the client.
Suppliers refers to third-party service providers such as hotels, lodges, airlines, vehicle operators, and activity partners.
You / Your refers to the client(s) as defined above.
2. Booking Procedure
To confirm your reservation, a 30% deposit is required together with a completed booking form. The remaining 70% balance must be paid no later than 60 days prior to the start of the trip. For bookings made within 60 days of departure, full payment is required immediately.
A 3% booking service fee applies to all reservations but is waived for direct bank transfers. Payments are accepted in USD or UGX at the prevailing exchange rate as advised by African Brownmat Safaris Ltd. All bank or exchange charges are borne by the client.
The company reserves the right to cancel bookings for which payment deadlines are not met. Prices are subject to change if suppliers adjust their rates before payment is received. If a booking has been paid in full and there are unavoidable increases (e.g., taxes, park fees, or fuel surcharges), the client will be responsible for these additional costs.
3. Waiver, Indemnity & Liability
African Brownmat Safaris Ltd acts only as an agent between you and third-party suppliers and cannot be held responsible for any defects, delays, cancellations, or losses caused by them or by circumstances beyond our control.
All services, tickets, and vouchers are subject to the terms and conditions of the respective suppliers, which you agree to abide by. The company, its staff, agents, and representatives are indemnified against any claim, loss, damage, or injury sustained during travel. Clients waive all claims for damages, loss, injury, or death arising during or after the safari.
4. Cancellation & Refund Policy
All cancellations must be made in writing and acknowledged by African Brownmat Safaris Ltd to be valid.
Cancellation charges apply as follows:
If we are unable to confirm your booking after receiving payment, we will propose alternatives or refund you in accordance with the supplier’s policy. No refunds are given for no-shows or partially used services. The company reserves the right to cancel bookings due to misquotations or errors, in which case any payment made will be refunded in full.
5. Complaints & Dispute Resolution

. We aim to respond within 30 days and will make every effort to resolve disputes amicably with the supplier involved. However, as an agent, the company cannot guarantee outcomes beyond its control.
6. Passports & Visas
Clients are responsible for ensuring that all travel documents, visas, and permits are valid and in order. Passports must have at least two blank visa pages per country visited and be valid for at least six months beyond the travel date.
If traveling with minors, an unabridged birth certificate and, where applicable, parental consent letters are required. No refund will be given for failure to travel due to incomplete documentation.
7. Changes to Travel Itineraries
Safari itineraries serve as guidelines only and may be adjusted due to weather, road conditions, political situations, or other unforeseen circumstances. African Brownmat Safaris Ltd will strive to provide suitable alternatives, though additional costs may apply.
In case of unutilized services due to changes or cancellations beyond our control, we will refund recoverable amounts from the suppliers where possible.
8. Immunization & Medical Preparedness
Clients are responsible for obtaining the necessary vaccinations, medications, and health clearances required for travel in East Africa (e.g., Yellow Fever certificate). Travelers should ensure they are medically fit for safari activities. Failure to disclose relevant medical conditions may result in exclusion from activities without refund.
9. Illness or Disability
Clients with existing medical conditions must disclose this information during booking. All required medication and treatment arrangements remain the responsibility of the client. Failure to disclose such conditions constitutes a breach of contract.
10. Travel Insurance
Comprehensive travel insurance is mandatory and must include medical evacuation, trip cancellation, and personal accident cover. African Brownmat Safaris Ltd accepts no liability for losses or damages arising from a client’s failure to obtain suitable insurance.
11. Authority of Tour Leader / Driver-Guide
The tour leader or driver-guide’s instructions must be followed at all times for safety and smooth operation of the safari. In cases of inappropriate, illegal, or unsafe behavior, African Brownmat Safaris Ltd reserves the right to terminate participation without refund.
12. General Legalities
These Terms and Conditions form the entire agreement between the client and African Brownmat Safaris Ltd. Any amendments must be agreed upon in writing by both parties. Failure by either party to enforce any right shall not constitute a waiver of such rights.
If any clause is found invalid, the remaining provisions remain binding. This agreement is governed by the laws of the Republic of Uganda, and any disputes shall be resolved within the jurisdiction of Ugandan courts. The company shall not be held liable for non-performance resulting from force majeure (e.g., natural disasters, political unrest, or pandemics).

Either party may change its address for notices by providing 7 days’ written notice acknowledged by the other party.
